Job: Refugee Council ILR Project Admin & Information Officer-Leeds-17.5hrs Permanent £23,953 pro rata

The ILR Admin worker will work to provide administrative support and office coordination for the work of the ILR Coordinator in Yorkshire & Humber. The resettlement team works with refugees who have come to the UK as part of the Vulnerable Persons Relocation Scheme as well as other programmes. Refugees are interviewed in the region of origin and brought to the UK with their status already determined. Under this scheme a specific quota of refugees will be coming to the UK for resettlement. The team supports them intensively for their first 12 months in the UK after their arrival and following this at a reduced level of service over the 2-5 years.

The Indefinite Leave to Remain (ILR) Coordination project supports refugees on the Vulnerable Persons Resettlement Scheme (VPRS) and the Vulnerable Children’s Resettlement Scheme (VCRS) with their applications for Indefinite Leave to Remain in the lead up to the expiry of their 5 year’s refugee status.

This post will be for assisting the ILR Coordinator on issues relating to ILR and involves working across all 3 teams in the region.

The post-holder will be responsible for undertaking a wide range of administrative and client/solicitor coordination, and general office coordination duties. These include maintaining a paper and digital filing system of client records, assisting ILR Coordinator in organizing group/individual briefings with clients, liaising between the London Finance team and ILR Coordinator, answering telephone queries and providing general administrative support for the ILR Coordinator & our clients. The post holder will also be responsible for co-ordinating interpreters and their payments and helping with coordinating online video workshops, events and team training, monitoring petty cash and raising invoices. This role also includes liaising with various stakeholders and partnership agencies as well as other Refugee Council teams (Business, Finance and Human Resources).

Occasional travel to other resettlement teams based in Sheffield and Hull will be necessary.

Main Duties and Responsibilities

  • To develop and maintain appropriate office administrative and business support systems, in conjunction with other offices to ensure consistency of systems and procedures across the service.
  • To maintain the financial and evidencing systems for the team, to comply with the requirements of our HO/SCC funders.
  • To co-ordinate interviewing, registering, booking and, processing monthly payments / invoicing of interpreters
  • To assist the ILR Coordinator in liaising with clients & solicitors, booking individual appointments/organizing online group briefings with the clients, follow up with the clients for their appointments with the solicitors.
  • To contribute to the development of administration guidelines and policies and ensure that these are implemented.
  • To administer robust financial systems for petty cash, and paying invoices with the support of the Finance Team.
